Booking Terms & Conditions

1. Introduction

1.1 Bookings made through our website, and our and your rights and obligations in relation to such bookings, are governed by these terms and conditions.

1.2 By making a booking you are giving your express agreement to these terms and conditions.

1.3 Any statutory right that you may have as a consumer are not affected by these terms and conditions.

2. Interpretation

2.1 In these terms and conditions:

(a) “we” means The Racing Bug UK Ltd and its associated Venue teams, and “our” should be construed accordingly;

(b) “you” means our customer under these terms and conditions and “your” should be construed accordingly;

(c) “booking” means a booking in respect of booking a slot or race package on one of our raceways, at one of our Venues, which may be made by you under these terms and conditions; and

(d) “forced major event” means an event that is, or a series of related events that are, beyond our reasonable control.

3. Order Process

 

3.1 To make a booking through our website, the following steps must be taken: you must click “make a booking”, “book now” or “click here to make a booking” [or similar], on the relevant Venue’s page.

3.1.a In the case of World’s Raceway at our Brighton location and Moonshine Raceway at The Four Thieves, you will be asked to select the relevant day of the week that you would like the booking to take place on; then be asked to choose a Racing package (number of races that you wish to have for your booking); you will then select the date and a time slot; you will be asked for your details and the number of participants that you want racing (this is not your group size, but the actual amount of your group that you want racing on that day with that racing package); by clicking “Pay Now” you are agreeing to our terms and conditions; you will be redirected to make payment through PayPal. 
The booking is valid from the start time given on the booking until close of the Raceway as listed on the Raceway’s page. You then have that amount of allotted time to use your Racing credits. You are ​booking your arrival time, not your time on the Raceway. Licenses and Racing is subject to a queue in the venue.

3.1.b In the case of Glitch Raceway, a separate tab will open ( www.theracingbuglive.co.uk/glitch-raceway ) where you will be asked to input your group size, 'package', preferred date and the ability to only show availability between two selected times on that date; you will select your preferred time slot by selecting "Book Now" next to where the price for that slot is displayed; you may be given the option to add extras to your order such as arrival drinks, or a Trophy for your group to compete over or you can skip; you will be asked to enter your personal details and your method of payment - either through Paypal or by Card (Worldpay). Glitch bookings are for a 1 hour slot. You may stay as long after your booking as our capacity will allow, if subsequent bookings from other customers means capacity is reached, a member of the team may ask you to move downstairs to The Joiner on Worship - our Venue Partner. We reserve the right to move you (and your group) to allow other customers the same unimpeded time to enjoy The Glitch Arcade as you received.

3.1.c In the case of a Voucher booking, you will have been sent a link to the "Change My Booking" portal in your voucher confirmation email, or alternatively can be found at: 
www.theracingbug.co.uk/changemybooking. You will then be directed to fill in your personal details; you will select the associated venue which must be the same as your original booking, select "VOUCHER BOOKING", you will be asked for your preferred Date & Time; you will then input your Voucher Code without dashes and click "Submit". This is not a confirmation of your new booking. You will be contacted by email from a member of our team to confirm your new race date and time.

4. Change My Booking, including cancellations

4.1 Changes to your booking must be made through the "Change My Booking" portal, found here, the link to which will have been sent in your booking confirmation email, or alternatively can be found at: www.theracingbug.co.uk/changemybooking.

4.2.b In summary but not limited to, changes to your booking are fulfilled at the Discretion of The Racing Bug Team and it's associated Venue staff; changes are subject to an admin fee; 48+ hours notice must be given before your booking time.

4.3 If you're late for your booking we'll try to get you racing as much as possible in what time remains of your slot. Other than this, late comers cannot be catered for. Please accept that the time that you lost, is lost.
 

5. Prices

5.1 Our prices are quoted on our booking pages. Prices may vary dependent on date, day or time.

5.2 We reserve the right to change our prices at any time for any reason, but this will not affect agreements previously paid for at previous prices.

6. Payments

6.1 You must pay the applicable prices for your bookings during the checkout procedure.

6.2 Failure to make payment will mean you have not booked your slot(s).

7. Cancellation of bookings by us.

7.1 We reserve the right, in the unlikely event where we need to cancel an event or booking, to do so. This can be due to a number of reasons including, but not limited to; the host venue needing to be closed, staff sickness or shortages, hardware or software issues, forced major events, or force majeure.

7.2 All bookings are conditional upon the type of event and are subject also to the venue's usual Terms and Conditions as well as any relevant licensing conditions. Management reserve the right to refuse and/or cancel a booking for professional, health and safety, licensing or other business reasons and will not be held liable for any costs incurred as a result.

7.3 We will give you written notice with as much notice as the situation will allow.

7.4 We will issue you with a full refund or issue a voucher for the full amount and waver the associated admin charge where the reasoning falls under section 7.1.


7.5 If guests do not behave in an appropriate manner or breach our terms and conditions, management reserve the right to stop any event without being liable to any costs. Such behaviour will be treated with a zero tolerance policy.

8. Cancellations by you

8.1 Cancellations by you, are subject to the terms and conditions as stated in section 4.

9. Damages


9.1 In the case of private hires, deposits will also act as a damage deposit. Should the damage exceed the value of the deposit, we reserve the right to use appropriate avenues to reclaim the full value of the damage. This also applies to cleaning costs.

10. Venue Terms
 

10.1 Below is a summary of our general venue policies, for specific policies please visit the appropriate website for each venue.

 

10.2 A booking does not guarantee entry to the venue. No refunds are given on refusal of entry.

 

10.3 We reserve the right to refuse serving alcohol to you or any of your guests who we believe are either drunk or unfit to consume alcohol. All alcohol must be consumed on site.

10.4 We operate an Over 18 and a No ID, No Entry policy all week to ensure a safe and pleasant environment. The only forms of ID accepted are UK driving licences and passports.

10.5 It is the responsibility of the event organiser to relay this information onto the guests. We will not be held responsible for refunds being made due to lack of ID or a member of the group being under the age of 18.

10.6 We reserve the right to refuse admission at the door for any legitimate reason.

10.7 It is against our policy to bring any food or drink (alcoholic or non alcoholic) onto the premises by or on behalf of any customers. This is for legal, health, licensing and trading standards reasons. We recommend you inform your guests of this policy. In the event we find a customer carrying in drinks from outside, you could lose your deposit.

 

10.8 We operate a zero tolerance policy on drugs. Anybody caught in possession and/or taking drugs will be ejected and reported to the police.

 

10.9 Customers may be searched upon entry by registered security.
 

10.10 Our licensing hours are strict. There will be no extensions on the night for any reason whatsoever. At the end of the nights guests are required to promptly vacate the premises.

10.11 We have a no hoodies, no sportswear policy. We reserve the right to refuse admission on this basis.

10.12 We reserve the right to remove any intoxicated customer.

10.13 We cannot be held responsible for the loss or damage of any personal goods.

10.14 We take every measure to comply with all legal legislation.

10.15 A booking does not guarantee entry into a venue.

11. Warranties and representations

11.1 You warrant and represent to us that:

 

(a) you are legally capable of entering into binding contracts;

 

(b) you have full authority, power and capacity to agree to these terms and conditions; and

 

(c) all the information that you provide to us in connection with your booking is true, accurate, complete, current and non-misleading

11.2 We warrant to you that any services we may supply to you under these terms and conditions or in connection with a booking will be supplied with reasonable care and skill.

12. Limitations and exclusions of liability

12.1 Nothing in these terms and conditions will:

(a) limit or exclude and liability for death or personal injur resulting from negligence;
(b) limit any liabilities in any way that is not permitted under applicable law; or
(c) exclude any liabilities that may not be excluded under applicable law,

 

12.2 and any statutory rights you may have as a consumer will not be excluded or limited by these terms and conditions are subject to Section 12.1

 

13 Privacy Policy

 

13.1 By agreeing to these terms and conditions your are agreeing for our us to use and store your personal data & cookies. We process and store data such as your name, email, phone number and address for the purpose of recording bookings and being able to contact you as our customer. The Racing Bug never sells or distributes your details for the purpose of advertising.
